1. Acceptance of Terms
Welcome to AfriHike Safaris. These Terms and Conditions ("Terms") govern your use of our website and services. By accessing our website, making a booking, or using our services, you agree to be bound by these Terms.
If you do not agree to these Terms, please do not use our website or services.
2. Definitions
- "We," "Us," "Our" refers to AfriHike Safaris
- "You," "Your," "Client" refers to the individual or entity booking our services
- "Services" refers to safari tours, trekking expeditions, and related travel services
- "Booking" refers to the reservation and payment for our services
- "Itinerary" refers to the planned schedule and activities
3. Booking and Payment
Booking Process
All bookings must be made through our official website, email, or authorized representatives. Verbal bookings are not accepted.
Deposit and Payment
- A deposit of 30% of the total tour cost is required to confirm booking
- Full payment must be received 60 days before tour departure
- Late bookings (within 60 days) require immediate full payment
- Payments can be made via bank transfer, credit card, or mobile money
Payment Currency
All payments are accepted in USD, EUR, or Tanzanian Shillings (TZS). Currency conversion fees are the responsibility of the client.
4. Pricing and Inclusions
Tour Prices
Prices are subject to change without notice. The price confirmed at booking is guaranteed, except for fuel surcharges or government-imposed taxes.
What's Included
- Accommodation as specified in the itinerary
- Meals as indicated in the tour description
- Transportation within the tour itinerary
- Professional guide services
- Park entrance fees and government taxes
- Basic first aid and emergency evacuation insurance
What's Not Included
- International airfare and airport taxes
- Visa fees and travel insurance
- Personal expenses and gratuities
- Optional activities and excursions
- Alcoholic beverages and soft drinks
- Items of a personal nature
5. Cancellations and Refunds
Cancellation by Client
Cancellation Policy
Cancellation charges apply as follows:
- More than 60 days before departure: 10% cancellation fee
- 30-60 days before departure: 25% cancellation fee
- 15-30 days before departure: 50% cancellation fee
- 7-15 days before departure: 75% cancellation fee
- Less than 7 days before departure: 100% cancellation fee
Cancellation by AfriHike Safaris
We reserve the right to cancel tours due to circumstances beyond our control, including but not limited to:
- Force majeure events (natural disasters, political unrest, etc.)
- Insufficient number of participants
- Safety concerns
- Supplier cancellations
In case of cancellation by us, you will receive a full refund or credit towards a future tour.
Travel Insurance
We strongly recommend purchasing comprehensive travel insurance to cover trip cancellations, medical emergencies, and other unforeseen circumstances.
6. Changes and Amendments
Changes by Client
Changes to bookings are subject to availability and may incur additional charges. Name changes are not permitted after final payment.
Changes by AfriHike Safaris
We reserve the right to make changes to itineraries, accommodations, or services due to operational requirements, weather conditions, or safety concerns. We will make reasonable efforts to provide equivalent alternatives.
Significant Changes
If we make significant changes to your itinerary, you may choose to:
- Accept the revised itinerary
- Transfer to another available tour
- Receive a full refund
7. Health and Safety
Medical Requirements
- Clients must be in good physical health and disclose any medical conditions
- Kilimanjaro treks require medical clearance from a physician
- Pregnant women should consult their doctor before booking adventure activities
- Some medications may require special documentation for entry into Tanzania
Travel Documents
- Valid passport with at least 6 months validity
- Appropriate visa for Tanzania
- Travel insurance documents
- Yellow fever vaccination certificate if required
Risk Acknowledgment
Safari and trekking activities involve inherent risks. By participating, you acknowledge and accept these risks and release AfriHike Safaris from liability for injuries or losses arising from such activities.
8. Liability and Insurance
Our Liability
AfriHike Safaris acts as an agent for various suppliers. Our liability is limited to the cost of the services booked. We are not liable for:
- Acts of nature, war, or terrorism
- Supplier bankruptcy or insolvency
- Loss of personal belongings
- Personal injury unless caused by our negligence
Client Responsibility
Clients are responsible for their own safety and must follow guide instructions. You agree to indemnify AfriHike Safaris against claims arising from your actions.
Insurance Coverage
Basic emergency medical and evacuation insurance is included. Additional coverage is recommended and is the client's responsibility.
9. Conduct and Behavior
Code of Conduct
- Respect local customs, laws, and wildlife
- Follow safari guidelines and park regulations
- Be considerate of other tour participants
- Do not litter or damage the environment
- Respect guide instructions for safety
Unacceptable Behavior
Behavior that endangers others, damages property, or disrupts the tour may result in immediate removal from the tour without refund.
10. Photography and Media
Professional photography may be conducted during tours. By participating, you grant permission for your likeness to be used in promotional materials unless you opt out in writing.
11. Governing Law
These Terms are governed by Tanzanian law. Any disputes shall be resolved through arbitration in Arusha, Tanzania, or through the Tanzanian courts.
12. Amendments
We reserve the right to amend these Terms at any time. Changes will be posted on our website and communicated to existing clients where applicable.
